    Emails Only Print When Outlook Is Open? Check Your Rules

    Here's a head-scratcher we see with Outlook accounts: AutoPrintEmail prints perfectly while Outlook is open, and goes quiet the moment you close it. Looks like the app depends on Outlook. It doesn't.

    AutoPrintEmail connects directly to Microsoft's servers, so it sees new mail with Outlook fully closed, the browser closed, everything closed. But there's one moving part that CAN depend on Outlook: the rule that sorts mail into the folder AutoPrintEmail is watching.

    What's Actually Happening

    Say your orders arrive in the Inbox, and an Outlook rule moves them into a folder called "Orders", and AutoPrintEmail watches "Orders".

    Outlook rules come in two flavors:

    • Server-side rules run on Microsoft's servers. They sort mail 24/7, no matter what's open.
    • Client-only rules run inside the Outlook desktop app. Close Outlook, and the rule stops running. Your orders pile up in the Inbox, the "Orders" folder stays empty, and AutoPrintEmail (correctly) finds nothing to print there.

    Rules created in the Outlook desktop app become client-only whenever they use a desktop-only condition or action (play a sound, show an alert, move to a local PST folder, and a few others). Outlook marks these with a "(client-only)" tag at the end of the rule name, which is easy to miss.

    The Fix: Recreate the Rule in Outlook on the Web

    Rules created in Outlook on the web always run on the server:

    1. Go to outlook.office.com and sign in with the mailbox AutoPrintEmail uses
    2. Click the gear icon → Mail → Rules
    3. Click Add new rule and rebuild your rule there (same condition, same "move to folder" action)
    4. Delete the old rule in the desktop app so the two don't fight over the same messages

    That's it. The rule now files mail around the clock, and AutoPrintEmail prints with everything closed.

    Or Skip the Folder Entirely

    If the folder only exists to feed AutoPrintEmail, you don't need it. Point AutoPrintEmail at the Inbox and use its own filter rules (sender, subject) to match the emails you want printed. The app's filters always run, since they live in the app, not in Outlook.

    How to Tell Which Setup You Have

    • Not sure how mail reaches the watched folder → check Outlook on the web's Rules page; if the rule isn't listed there, it lives in the desktop app

    Summary

    AutoPrintEmail never needs Outlook open. If printing seems to require it, an Outlook client-only rule is filling the watched folder. Recreate the rule at outlook.office.com (or watch the Inbox with app filters), and the dependency disappears.
